Three things for the salesperson. Everything else is automatic.
Photograph. Speak. Done. Typically about a minute per lead, without leaving WhatsApp.
- 3 seconds
Photograph the card
Open your company's ExpoAI WhatsApp chat and send a photo of the visiting card. Poor light, tilted card, handwritten notes on the back: all fine.
- 15 to 30 seconds
Add a voice note
Say what the visitor wanted in your own words and language: requirement, budget hints, timeline, what to send them.
- One tap
Approve. Done.
ExpoAI replies with a structured lead and a suggested brochure. Tap Approve, and the visitor gets the right material while the lead is recorded.
Behind the scenes
What happens in that minute
Six steps run in sequence for every lead. Each one is logged, retried on failure and visible in the dashboard.
- 1
OCR
Reads name, designation, company, mobile, email and address from the card photo.
- 2
Transcription
Turns the voice note into text, in the language it was spoken.
- 3
AI understanding
Extracts requirements, pain points, timeline and intent. Scores the lead with reasons.
- 4
Content matching
Picks the right brochure, deck or price list from your approved library.
- 5
Google Sheet
Appends a clean row to your company's own sheet, with retries if Google is slow.
- 6
WhatsApp + email
Sends the visitor a personalised message and email with the matched content.

Your own Meta Cloud API number. Data never mixes across tenants.
English, Hindi, Kannada, Tamil, Telugu, Marathi, Bengali, Malayalam.
Salespeople use the WhatsApp they already have.
Photograph, speak, approve. Not a guaranteed SLA, just what teams see.

The whole workflow lives in a chat your team already has open.
No app to install, no login to remember, no training session. If a salesperson can send a photo on WhatsApp, they can use ExpoAI.
Works on any phone with WhatsApp. Nothing else to install or update.
Every company connects its own WhatsApp number and Google Sheet; data stays completely separate.
Corrections by text. Reply “email is rahul@novapharma.example” and the lead is fixed everywhere.
Approve, Edit or Cancel with buttons in the chat. Nothing goes out to a visitor without your say.
Chat commands

- LAST LEAD
- Re-sends the last captured lead so you can correct or forward it.

- Plain text
- “Mobile is 98xxx 11223” or “company is Nova Pharma” fixes the field. No menus.
Each salesperson uses their own phone number, so every lead is attributed automatically.
Not just a contact. A lead you actually understand.
Every lead gets a 0 to 100 score with reasons, plus the requirements, pain points and timeline your salesperson said out loud. Nothing is invented: each field cites where it came from.

Multilingual voice notes
Speak in the language you sell in. The lead is recorded in English, with the original kept.

Why 82?
- + Decision-maker title (Plant Head)
- + Concrete quantity and sites named
- + Timeline within the quarter
- − Budget not mentioned
Provenance built in: if the card or voice note did not say it, the field stays empty. No hallucinated phone numbers, no guessed budgets.
You do not need a CRM. You need a sheet that fills itself.
ExpoAI works with WhatsApp and Google Sheets alone. Every approved lead becomes one clean row in your company's own sheet, the moment it is approved.
- Your sheet, your Google account. Connect once with a service account; ExpoAI writes only to the sheet you choose.
- Links to the originals. Each row links to the card photo and voice note, served privately through signed URLs.
- Filters and pivots you already know. Sort by score, filter by salesperson, share a tab with a distributor.
Retry, never duplicate
If Google is slow or rate-limits us, the write is retried in the background. A lead is never appended twice.
Sync status you can see
Every row shows its sync state in the dashboard. Corrections made in WhatsApp update the same row.

The visitor hears from you before they reach the next booth.
Approval mode is on by default: the salesperson taps Approve and the visitor gets the right brochure on WhatsApp and email within moments. After that, AI keeps the conversation warm until a human steps in.
Approval mode, by default
Nothing reaches a visitor until a salesperson approves the AI summary. Edit a field or cancel with one tap. Teams that trust the output can switch to auto-send per expo.
AI follow-up sequences
A Day 1, 3, 7 and 14 sequence written from the lead’s own requirements. The sequence stops the moment the visitor replies, so nobody gets a canned message mid-conversation.
- Day 1 · Thank-you message with the matched brochure and a one-line recap of what they asked for.
- Day 3 · Short follow-up that answers the specific requirement, with a link to book a call.
- Day 7 · Case study or spec sheet relevant to their industry.
- Day 14 · Final nudge with a direct line to the salesperson who met them.
AI sales agent with human takeover
When a visitor replies with a question, the agent answers only from your approved knowledge: brochures, price lists, FAQs you uploaded. Anything outside that, or any buying signal, is handed to the salesperson with full context.
Does the 200-sensor kit support -40°C?
Yes. The CX-200 series is rated to -45°C (spec sheet, p.4). Would Tuesday work for a site visit with Anita?
Answer sourced from “CX-200 spec sheet”. Anita notified for takeover.
One screen for the manager back at the office.
While the team works the booth, the dashboard shows what is coming in, who needs a reply, and where the pipeline stands. The AI Action Center turns that into a to-do list.

Attribution comes from each salesperson’s own WhatsApp number. No manual tagging.
Only real numbers.
Was the expo worth it? ExpoAI answers with arithmetic on leads that actually exist, not projections. Compare expos side by side and know which shows to book again.
We never estimate conversion rates for you. If a field has not been filled by your team, the metric that depends on it shows a dash, not a guess.
Cost per lead
Expo spend ÷ leads capturedEnter the stall cost, travel and collateral once per expo. Every captured lead updates the number.
Cost per meeting
Expo spend ÷ meetings bookedMeetings are counted only when a salesperson marks one, or the visitor books through a follow-up.
Pipeline
Σ estimated deal value of open leadsDeal values come from your team, not from an AI guess. Empty stays empty.
ROI
(Won value − expo spend) ÷ expo spendMark a lead as won in the sheet or dashboard, and the expo’s ROI updates.
Your leads are the most valuable thing you bring home from an expo.
ExpoAI is multi-tenant by design and treats visitor data as personal data.
Tenant isolation
Every company connects its own WhatsApp number and Google Sheet; data stays completely separate. Every query is scoped to your tenant.
Encrypted credentials
WhatsApp tokens, Google service-account keys and SMTP passwords are encrypted at rest and never shown again after saving.
Private files, signed URLs
Card photos, voice notes and brochures are stored privately and served through short-lived signed links.
Audit logs
Who approved which lead, what was sent to whom, and every correction, with timestamps.
DPDP-aware consent and opt-out
Consent language in the first message, a one-word opt-out that is honoured immediately, and deletion on request.
Plugs into what you already run.

Anything else? Write to hello@expoai.example and a human will reply.
Do salespeople need an app?
No. They use the WhatsApp already on their phone. Your company gets an ExpoAI business number; each salesperson simply sends card photos and voice notes to it. There is nothing to install, update or log into at the booth.
What if the card has no mobile number?
The lead is still captured with whatever the card and voice note contain. ExpoAI asks the salesperson for the missing number in the same chat, and the visitor follow-up goes by email until a WhatsApp number is added. It never guesses a number.
Does it work without a CRM?
Yes. Google Sheets is the system of record. Every approved lead becomes a row in your own sheet, and the dashboard reads from the same data. CRM push for HubSpot, Salesforce and Zoho is coming; webhooks are available now.
Which languages can the voice note be in?
English, Hindi, Kannada, Tamil, Telugu, Marathi, Bengali and Malayalam, including mixed speech such as Hinglish. The structured lead is written in English; the original transcript is kept alongside it.
Is it a guaranteed one minute?
No. Typically a lead is captured, summarised and sent in about a minute, but that depends on WhatsApp, Google and AI provider response times. We show status in the chat and retry in the background; we do not promise an SLA on the landing page.
What does the visitor actually receive?
A short personalised WhatsApp message and an email with the brochure or deck that matches what they asked for, sent from your company's own number and domain. Every first message includes consent language and a one-word opt-out.
Can the AI send something wrong to a visitor?
Approval mode is on by default: nothing is sent until a salesperson taps Approve. The AI only picks content from the library you approved, and the sales agent answers only from that knowledge. Anything else is routed to a human.
Is our data separate from other companies?
Yes. Every company connects its own WhatsApp number and Google Sheet; data stays completely separate. Credentials are encrypted, files are private behind signed URLs, and every action is logged.

No App. No Excel. No Retyping.
Your next expo starts with one photograph.
Set up your WhatsApp number and Google Sheet before the show. Walk out with every lead captured, understood and followed up.
